Hoard, a listing tool from Hoard Systems, helps a seller photograph, describe and list their own stock on eBay and Whatnot. Only the seller and the people the seller adds as users can sign in. This page says what the tool keeps, who else sees any of it, and how to have it deleted.

What it keeps

• User accounts: a username, a hashed passphrase and sign-in sessions.
• The seller's photos and drafts: photos of the items being sold, and the titles, descriptions, prices and other details written for them.
• From the seller's own eBay account, read-only and only once the seller connects it:
  • the store's listings: title, SKU, price, quantity, category, the listing's picture link, and its view and watcher counts;
  • orders: order number, item, quantity, price paid, shipping charged, ship-by date and status. No buyer names, usernames, addresses, email addresses or payment details are stored;
  • eBay's fees, shipping-label costs and refunds, as totals per order and per month.
  To recognise an account-deletion notice for the connected account, the tool keeps a one-way hash of the seller's eBay username and account token, never the values themselves.
• eBay's category data (category names, item specifics and condition lists) used to fill in a listing.
• eBay account-deletion notices: only each notice's id, its topic, the time it arrived and whether it named the connected account.

Photos

Photos are private: they are shown only to signed-in users. The one exception is the photo links in a listing file the seller exports for eBay or Whatnot. Each of those is a long random link to one photo, made so eBay or Whatnot can copy the picture into the listing. The links name nothing and cannot be guessed, and they ask search engines not to index them. Photos of items exported before these links existed stay reachable at their old address until eBay has the listing, for at most 30 days.

Who else processes it

• Anthropic (the Claude API) drafts listings. It receives only the seller's own material: the item photos, text the seller or their users typed, and the drafts written for the seller's items. No eBay data is ever sent to it: not listings, orders, fees, views, watchers, category data or anything else retrieved from eBay, and no buyer data. Under Anthropic's commercial terms, what the tool sends is not used to train its models.
• SendGrid delivers the tool's operational emails (such as photo clean-up warnings) to the seller.
• Everything else stays on the tool's own server.

How long

• Photos of a finished upload are deleted 31 days after it closes.
• Data from the seller's eBay account is kept until the seller deletes it (below) or eBay tells us the account was deleted.
• Copies of the database older than 30 days are deleted; every copy is readable only by the server's administrator.

Deleting eBay data

• In Settings > eBay, Disconnect eBay and delete my eBay data disconnects the account and deletes everything pulled from it: listings, orders, fees, views and watchers, and the saved item-specifics lists. The seller's own items, photos and drafts stay. Plain Disconnect stops pulling but keeps what was already pulled.
• When eBay sends a marketplace account-deletion notice for the connected seller's account, the tool does the same deletion by itself. For any other eBay account there is nothing to delete, because the tool keeps no data about buyers or other eBay users.
